Coordinate both handovers

Provide access and load details
Let us know about stairs, loading bays, restricted stopping, distance from the vehicle to reception and assistance needed. Send approximate dimensions for bulky luggage. Vehicle capacity, handling and acceptance are confirmed before the booking is agreed.
Discuss waiting and storage
If hotel check-in and luggage delivery times differ, explain the timing in the enquiry. Storage, unattended delivery, waiting and additional handling must be expressly agreed rather than assumed. The quote confirms the route, service arrangements and any extra charges.
